Insurance Risk Assessment

Insurance premiums over the last 5 years have rocketed. For any business operating vehicles under a fleet motor insurance policy, it is imperative that they can demonstrate to their insurer that they have adequate fleet procedures in place to minimise risks.

By simply improving basic internal procedures and demonstrating that you have a full understanding of how your business is operating under your motor insurance policy, should result in lower premiums and prevent your insurance being invalidated by a condition being broken.

All businesses should place an obligation on drivers to notify them of any convictions or accidents. They should also via the inspection of driving licences (at regular intervals) check that drivers have not, unbeknown to the business, lost their licence due to convictions. Management of Non Company Car Drivers

More companies are offering a cash alternative to the traditional company funded vehicle. There are normally few guidelines on age and type of vehicle allowed under such schemes. There is also little or no direct management of these vehicles and subsequently any information available as to whether they have been suitably maintained by the employee.

As a business you are still potentially liable for any incidents that arise from an employee using their own car for business purposes, as this still falls under the Health And Safety At Work Act.

Interim Change Management

Often vehicles are inherited from suppliers whose terms and conditions are completely different to those contract terms negotiated with your current provider. This is likely to include different:-

  • Excess Mileage rates
  • Rate of borrowing
  • Manufacturer discount
  • Fair Wear & Tear stipulations

For most businesses it would be easier not to transfer any vehicles and just start again from scratch. However this is not always possible, depending on the circumstances.

Data format manipulation and modelling

Being able to cross reference and reformat any kind of electronic data, is an art form in itself. Often there are standard software functions and specific methods that could save you hours of wasted time, when you want to analyse something in a particular way.

This is especially true of fleet data, as this tends to be comprised of both payroll data and fleet records.

Data integrity is crucial to any smooth running of a fleet administration system and any form of duplication can cause big problems. Another common problem occurs on registration numbers with 'O' being entered instead of Zeros '0' and vice versa - 03 (O3) 0MN (OMN).
